Can the access control be connected to the payroll or HR program?
Yes, and it is what makes leavers get done on their own instead of depending on a person. What has to be decided before connecting anything is which system is in charge.
The points agreed in that meeting: what the key is that identifies the person on both sides —the employee number, never the name—, what happens when somebody changes department (whether the change moves permissions automatically or only alerts a manager to decide), what the system does with a leaver —withdrawing the access while keeping the history, which is not the same as deleting the person— and how often it synchronises, because an overnight sync leaves a day's margin that is no use in a dismissal.
And what always gets discovered late: in human resources there are people who go through no door at all, and through the doors go people who are not in human resources — contractors, regular visitors, staff from another company in the group, students on placement. The integration resolves the workforce; the rest still needs its own procedure, and it is worth writing it down the same day.
